Photoshoot + Styled-Shoot Requests

We’re grateful for the talented vendor community we collaborate with. Arden Event Collective partners with planners, photographers, venues, and brands to create clean, creative and on‑trend visuals that celebrate cohesive design and quality details. We receive many thoughtful submissions each month and approve a limited number of shoots based on concept, timeline, and fit. Thank you for your patience while we review each application with care.

Who We Partner With & Timing

Open to professional planners, photographers, studios, venues, and brand partners.
Please submit requests no less than 30 days before your shoot. Requests within 30 days may not be approved, but you’re welcome to apply.
Arden typically does not approve shoots during our busy season (May through October) but requests can be made.
Review window: We typically respond within 7–10 days. Rush reviews can be requested but aren't guaranteed.

Logistics & Care

Agreement: We must have a signed contract on file prior to release, pickup, or delivery.
Delivery or Pickup: Pickup is allowed only with enclosed/insured vehicles and proper blankets/straps. Some equipment may require delivery services by our team.
Conditioning: Items must be returned in their original condition. Items that are severely soiled or require repair or replacement are billable.

Exclusivity

We require Arden to be the sole rental vendor for shoots to keep the look cohesive and to ensure clear product imagery. An exception applies only when napkins and table linens are provided by specialty linen companies (e.g., BBJ or Nuage). When other rental companies are included, we’re unable to use the images. We appreciate your understanding.

Pricing (Portfolio Rates)

Discounts: up to 50% on approved items. The exact discount may be lower based on portfolio balance and current content needs (for example, if we already have ample imagery in a similar style, palette, or product mix). The remaining fee covers labor to count, pull, and prepare items for you, as well as receive, count, clean, and restock the items. Delivery, pickup, and portage fees are not discounted. A card on file is required. Damages/loss are billed at replacement cost.

Image Deliverables & Usage

Within 30 days of the shoot or publication: web-ready gallery (watermarked is okay).
Full, web and hi-res gallery delivered within 60–90 days.
Please credit @ArdenEventCollective (and list vendor team) anywhere credits appear.
You grant Arden a perpetual, non-exclusive, royalty-free license to use images across web, social, ads, print, and PR with vendor credits. Photographers retain copyright.

Do you sponsor shoots? Occasionally! Strong concepts that have confirmed publication, and a product-forward plan help.
Do you provide styling or design? Yes, design fees may apply.
Can we shoot at your showroom? Due to the busyness of the showroom and team members assisting clients in person and on the phone, we do not allow photoshoots in the showroom currently.
